Terms of Use

These Terms of Use (“Terms”) govern your access to and use of ProfieldTech (the “Service”), including our app(s), website(s), and related features. By using the Service, you agree to these Terms. If you do not agree, do not use ProfieldTech.

Workplace system ProfieldTech is used for staffing and attendance workflows. You must follow your organisation’s policies and applicable laws.

1) Who can use ProfieldTech

  • You must be authorised by an organisation (or admin) to access the Service.
  • Some features are role-restricted (e.g., admin/manager/staff).
  • We may suspend accounts that violate these Terms or security rules.

2) Accounts & security

  • You are responsible for keeping your login details secure.
  • Do not share your account. Use your own identity.
  • Notify your organisation/admin and support if you suspect unauthorised access.

3) Shifts, rota tasks, and approvals

Shifts/tasks may be posted by an organisation and can be subject to application/acceptance and approval flows. Availability and access can depend on organisation membership (including multi-org membership), roles, or targeted visibility.

4) Clock-in/out & attendance

  • Clock-in/out times are recorded to support attendance verification and payroll/admin processes.
  • Clock access can be locked until a manager/admin approves the shift/task.
  • You must not falsify clock events, timesheets, or notes.

5) Location (optional / permission-based)

If enabled by your organisation and permitted by your device settings, ProfieldTech may capture approximate location at clock-in/out (e.g., latitude/longitude + accuracy) to support attendance verification. Location accuracy varies by device, settings, and signal, and is not guaranteed.

6) Notes

Notes may be stored as part of task workflows. Some organisations may restrict note access (for example, only after clock-out). Notes should not include confidential information unless your organisation permits it.

7) Timesheets & uploads

If the Service supports it, you may upload timesheet proof (photo/video/PDF). You confirm you have the right to upload the content and it does not violate confidentiality, data protection rules, or third-party rights.

8) Compliance documents & certifications

ProfieldTech may store staff documents and certification records (e.g., expiry dates, training names) to help organisations track compliance. Your organisation controls which documents are required and how long records must be retained.

9) Prohibited actions

  • Bypassing role restrictions, security controls, or organisation access rules.
  • Uploading malware, abusing the Service, or interfering with performance.
  • Reverse engineering or tampering with the Service except to the extent allowed by law.
  • Using the Service to violate laws, contracts, or third-party rights.

10) Changes & availability

We may update or change features, requirements, or these Terms. Continued use after changes means you accept the updated Terms. We do not guarantee uninterrupted availability.

11) Disclaimers

The Service is provided “as is” and “as available” to the maximum extent permitted by law. We do not provide warranties of merchantability, fitness for a particular purpose, or non-infringement.

12) Limitation of liability

To the maximum extent permitted by law, ProfieldTech and its operators are not liable for indirect, incidental, special, consequential, or punitive damages; or for loss of data, profits, business, or goodwill arising from use of the Service.

Privacy Policy

This Privacy Policy explains how ProfieldTech collects, uses, and shares information when you use the Service. Your organisation may be the “data controller” for workplace data; ProfieldTech may act as a “processor” depending on the deployment and agreement.

Core idea We process data to run shift/rota workflows, clock-in/out, compliance tracking, uploads, and notifications.

1) Data we may collect

  • Account data: name, email, role, organisation membership identifiers, profile photo (optional).
  • Organisation/work data: shifts/tasks you view, accept/apply for, approvals, assignments, and statuses.
  • Clock data: state, timestamps (started/stopped), and duration.
  • Location (optional): approximate location at clock-in/out (lat/lng + accuracy), where enabled and permitted.
  • Notes: task notes you create/edit, timestamps of creation/updates.
  • Uploads: timesheet proof and/or compliance documents (file + metadata such as name/type/path/upload time).
  • Notifications: push notification tokens (e.g., APNs/FCM) and notification delivery events.
  • Technical data: basic device/app data needed for security and reliability (e.g., error logs if enabled).

2) How we use data

  • Provide Service features (tasks, shifts, approvals, rota views).
  • Record attendance (clock-in/out) and support payroll/admin workflows.
  • Enable compliance tracking (document/cert expiry).
  • Deliver notifications (e.g., new shifts/tasks, approvals, reminders).
  • Secure and maintain the Service (fraud prevention, debugging, performance).

3) Push notifications & tokens

If you enable notifications, your device may generate a push token (e.g., APNs/FCM). We store tokens to send messages to your device and may store multiple tokens if you use multiple devices.

4) Location permissions

If location is part of your organisation’s attendance policy, the app may request “When In Use” location permission. You can deny or revoke permission in device settings, but some clock workflows may be limited where location is required.

5) Sharing & access

ProfieldTech is typically used within an organisation. Admins/managers may access staff records relevant to staffing, attendance, compliance, and payroll workflows. We may also rely on service providers to host and deliver the Service.

Within your organisation

Admins/managers can access data needed for shift assignment, approvals, attendance verification, and compliance tracking.

Service providers

We may use cloud infrastructure for database, storage, and notifications. Providers process data only to run the Service.

6) Data retention

We retain data as needed to provide the Service and as required by organisational policy, contracts, or legal/audit obligations. Retention may be configured by your organisation.

7) Security

We use reasonable technical and organisational measures to protect data. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

8) Your choices & rights

  • Update certain profile fields where available.
  • Control notification and location permissions in device settings.
  • Depending on your region (e.g., UK GDPR), you may have rights to access, correct, or delete data—often handled through your organisation.

9) Children’s privacy

ProfieldTech is not intended for children and is designed for professional/organisational use.

10) Changes to this policy

This Privacy Policy may be updated. The “Last updated” date will reflect changes.

Quick answers for common ProfieldTech issues: tasks, rota shifts, approvals, clock-in/out, notes, compliance, uploads, and notifications.

Why don’t I see any tasks or shifts?
Your account may not be linked to an organisation yet, or your role/permissions may restrict visibility. If you’re multi-org, ensure you’re properly linked to the organisation(s). Contact an admin to confirm your membership.
Why can’t I accept or clock-in for a shift/task?
Some workflows require manager approval before clock-in is enabled. If the status shows “waiting approval”, you must wait for approval. Also check you’re signed in, and your organisation access is correct.
What does “Attach my location” mean?
If enabled, the app records an approximate location at clock-in/out (lat/lng + accuracy). You can toggle it off, but your organisation may require it for attendance verification.
How do notes work, and why are they locked sometimes?
Notes may be tied to task completion. Some setups unlock Notes only after clock-in and clock-out have been recorded. This helps ensure notes are submitted after the work is completed.
How do I update expiring documents or certifications?
Go to the “Update documents & certifications” area. You can set expiry dates and upload replacement files where supported. If you don’t see a document, it may not have an expiry date stored yet or may not be required for your role.
I’m not receiving notifications — what should I check?
Ensure notifications are enabled for ProfieldTech in device settings, and confirm Focus/Do Not Disturb isn’t blocking alerts. Also make sure you’re signed in so your device token stays linked to your account.
Timesheet upload failed — what can I do?
Check your internet connection, verify you selected a supported file type, and try again. If it’s a large video/PDF, keep the app open during upload. If the issue continues, contact support.
